HOMEFIRA project notes · Quotation planning

A clearer brief for a clearer quotation.

Prepare the scope behind a custom hanger quotation: quantities, design references, sampling, packaging, destination and open commercial questions.

Bring with you.

  • Quantities by style or assortment
  • One consistent specification and packaging brief
  • A destination, requested schedule and list of inclusions to confirm

01 · Quotation planning

Define the assortment and quantity

Describe the styles you want quoted and the quantity for each. If the quantity is still exploratory, identify it as a requested range so it can be discussed without implying an agreed minimum or price.

  • List each collection direction or style separately.
  • Record the proposed quantity and assortment.
  • Ask which minimum quantities and conditions apply to the proposed scope.

02 · Quotation planning

Keep the design scope consistent

Attach or identify the same dimension, finish and artwork references for each quotation discussion. Where something is undecided, ask for it to be stated as an open item or a separately described alternative.

  • Identify the current specification and reference versions.
  • Include branding, hardware and functional requirements.
  • Separate agreed details from alternatives or unanswered questions.

03 · Quotation planning

Ask how sampling will be handled

Clarify what a proposed sample includes, how revisions are managed and which costs or arrangements need agreement. Treat requested sample timing as a question until it has been confirmed for the project.

  • Ask what will be represented in the sample.
  • Confirm sampling charges and revision arrangements.
  • Identify what must be approved before an order can proceed.

04 · Quotation planning

Describe packaging and destination

State how you want the goods presented and where they need to go. Packaging, labeling and assortment instructions belong in the same scope as the product so that the quotation can describe its inclusions clearly.

  • Specify bulk, individual or custom presentation as a request.
  • Provide the destination country and relevant delivery location.
  • Ask which packing and delivery services are included or excluded.

05 · Quotation planning

Review the quotation as one version

Read the final proposal alongside the specification, requested timing and open questions. Ask the project partner to identify the quotation date, validity, currency, payment and delivery terms rather than assuming those details.

  • Check that the quotation names the same specification and quantity.
  • Confirm inclusions, exclusions and unresolved items.
  • Keep the agreed quotation and subsequent revisions together.
